TDR Prep for GSA consultants

A consultant who prepares monthly TDR reports does the same work for each client: read the sales, match items to the contract, clear the lines SRP would reject. TDR Prep does that work per holder. An account is one holder: one sign-in, that holder’s contracts, its catalog and its archive. There are no team seats. There is no multi-client view, so each client is its own account, and the client’s point of contact uploads and certifies in SRP.

Every client has a different accounting system, a different export and a different catalog, and every one is due in the same window after month end.

The mapping from client items to contract items is the asset. Rebuilding it from memory each month, or keeping it in a spreadsheet per client, is where the hours go.

Clients ask for the IFF figure each quarter and for a record of what went in each month.

QuickBooks Online is pulled directly; any other system comes in as a CSV whose columns are remembered.

Each SKU or labor category is matched once inside that client’s account and reused every month.

The quarter’s IFF figure
Computed from the same reported months, for the client to pay in SRP.
A record the client keeps
Each month’s file sits in the client’s archive, and a lapsed account keeps read and export access to it and to the mapping.

  1. Open an account for one client holder and add its contract.
  2. Pull the client’s month from QuickBooks Online, or drop its export as CSV.
  3. Map the client’s items once.
  4. Clear the failing lines and download the file.
  5. Send it to the client’s SRP point of contact to upload and certify.

The client’s owner or Authorized Negotiator certifies in SRP; their bookkeeper may be the one who sends the export.

If a client moves reporting in-house later, the mapping and archive are already in their account.
