How to bring TDR reporting in-house from a consultant (and into TDR Prep)

Consultant packages bundle sales reporting with the rest of schedule management. GSA Managers lists $3,999/year, or $379/month billed quarterly; FedCerts lists $6,000 / 12 months. Neither publishes an export guide, so taking the monthly report back starts with a request: the files they uploaded, the item list behind them, and the months covered. Then TDR Prep takes the monthly preparation from your own books.

What is yours

The sales are yours: they come from your invoices and your books. What sits with the consultant is the work built on them: the monthly files, the match between your items and the contract, and their notes on which months are done.

SRP access belongs to the contract. GSA limits it to the contract’s points of contact, such as the Authorized Negotiator, the IFF point of contact and the Contract Administrator. Find out whose name is on each before the retainer ends.

Step one

Getting your records back

Neither GSA Managers nor FedCerts publishes an export guide. Ask for the records directly. Here is the message to send.
  1. Please send, for each month you prepared our GSA sales report: the file uploaded to SRP, as a CSV or spreadsheet.
  2. Please send the item list you used: each SKU or labor category with its SIN, unit of measure, manufacturer and part number.
  3. Please confirm the last month reported on each contract, and the IFF figure for each quarter you worked out.
  4. Please tell us which of our staff are listed as SRP points of contact, and whether any sign-in is held on our behalf.

Step two

Bringing it into TDR Prep

  1. Add each contract

    Enter each MAS contract number and the month its reporting starts.

  2. Connect QuickBooks Online or drop a CSV

    Pull the month from QuickBooks Online, or drop an export from any accounting system and match its columns once.

  3. Map each item, with the consultant’s list beside you

    Give each SKU or labor category its SIN, unit and manufacturer fields. The item list you asked for is the reference; the mapping is done once and reused.

  4. Build the month and fix what fails

    Every line is checked against the SRP file rules before a file exists, and each failure names its field.

  5. Upload and certify in SRP yourself

    Download the file and upload it from a contract point of contact’s sign-in, within 30 days after the month ends. The IFF figure for the quarter comes off the same months.

Carries over

What carries over, and what does not

Nothing carries over automatically. TDR Prep has no import from a consultant’s systems. The consultant’s item list is a reference for the one-time mapping, and their past files stay your record of the months they prepared.

What you gain is the mapping in your own account: once each item is matched, next month starts from the books rather than from a request to someone else.

Before you stop

Before you stop using a consultant retainer

  • Read the notice period in the retainer and decide which month is the consultant’s last.
  • Get the records above before that month, while the request is part of an active engagement.
  • Confirm a point of contact on each contract can sign in to SRP, since that person uploads and certifies from then on.
  • Keep the consultant for modifications or catalog updates if you still need them; reporting can move on its own.

Frequently asked questions

Can TDR Prep import my consultant’s past reports?

No. There is no import from a consultant. Keep their past files as your record, and use their item list as the reference when you map each item once.

What if the consultant holds the SRP sign-in?

SRP access is limited to the contract’s points of contact. Ask who is listed, and make sure someone in your business can sign in before the retainer ends.

Do I have to drop the consultant entirely?

No. You can keep a consultant for modifications and catalog work and prepare the monthly report themselves in TDR Prep.
